POSITION ANNOUNCEMENT EMPLOYER INFORMATION SPECIALIST POSITION SUMMARY We are seeking a detail-oriented and organized Employer Information Specialist to join our human resources team. This position plays a critical role in managing, maintaining, and verifying employer-related data and documentation to ensure accuracy, compliance, and accessibility across the organization. The ideal candidate will possess strong analytical skills, exceptional attention to detail, and the ability to handle sensitive information with discretion and professionalism. PRIMARY RESPONSIBILITIES Maintain and update comprehensive employer information databases and records systems, ensuring all data is current, accurate, and properly documented. Conduct regular audits of employer information to identify discrepancies, outdated records, or missing documentation. Serve as the primary point of contact for internal and external inquiries regarding employer information and verification requests. Process and verify employment documentation including contracts, amendments, organizational charts, and departmental structures. Coordinate with various departments to collect, validate, and distribute employer-related information as needed. Prepare detailed reports and analytics on employer data trends, workforce composition, and organizational changes. Ensure compliance with all relevant regulations, privacy laws, and company policies regarding the collection, storage, and dissemination of employer information. Develop and implement standard operating procedures for employer information management and data integrity protocols. Assist in the preparation of materials for audits, regulatory filings, and compliance reviews. Support onboarding and offboarding processes by ensuring accurate employer information is communicated to new hires and updated upon employee transitions. Collaborate with payroll, benefits, and legal departments to maintain consistency in employer information across all systems and platforms. REQUIRED QUALIFICATIONS Bachelor's degree in Human Resources, Business Administration, Information Management, or related field. Minimum of two years of experience in human resources, data management, or administrative roles with emphasis on information accuracy and compliance. Demonstrated proficiency with human resources information systems and database management software. Strong understanding of employment law, data privacy regulations, and compliance requirements. Excellent organizational skills with proven ability to manage multiple priorities and meet deadlines in a fast-paced environment. Superior attention to detail and commitment to maintaining data accuracy and integrity. PREFERRED QUALIFICATIONS Professional certification in Human Resources or Data Management. Experience with enterprise resource planning systems and advanced database applications. Knowledge of records retention policies and information governance best practices. Previous experience in a testing, quality assurance, or verification role. COMPETENCIES AND SKILLS Exceptional written and verbal communication skills with ability to present information clearly to diverse audiences. Strong analytical and problem-solving abilities with capacity to identify patterns and recommend improvements. High level of discretion and professionalism when handling confidential information. Proficiency in Microsoft Office Suite, particularly Excel for data analysis and reporting. Ability to work independently and collaboratively within cross-functional teams. WORKING CONDITIONS This is a full-time position based in an office environment. Standard business hours with occasional flexibility required to meet project deadlines or accommodate stakeholder schedules. Minimal travel may be required for training or inter-office coordination.
